Privacy notice
Last updated: October 2026
This notice explains how OIS Consult handles personal information on this website and in Business OIS, in line with the Protection of Personal Information Act, 2013 (POPIA).
Who we are
OIS Consult, Pretoria, South Africa. Contact our Information Officer at oisconsult@outlook.com or +27 81 549 0011.
This website
The website does not use cookies, advertising or analytics trackers. Like every web server, ours keeps short technical logs (IP address, date and time, page requested) to keep the service secure and working. These logs are deleted automatically on rotation.
If you email or phone us, we use your details only to answer you and, if you become a client, to provide our services.
Business OIS
When a company uses Business OIS, that company decides what information goes in, such as employee, training, audit, inspection and client records. For that information the company is the responsible party and OIS Consult acts as its operator: we process it only on the company's instructions and for providing the service.
- Separation. Each company's information is kept apart, and people only see the information of the company they belong to, limited further by their role.
- Account details. We keep the name, work email, employee number and role of each user, and a scrambled (hashed) form of their password and PIN. We cannot see the passwords themselves.
- Email notifications. The app sends work emails such as review reminders and alerts. These are sent through an email delivery provider.
- Security records. Sign-ins and changes are logged so that problems can be traced.
Where the information is kept
Business OIS runs on a cloud server in Finland, in the European Union, which has data protection laws at least as strong as POPIA. Information is encrypted on its way between your device and the server (HTTPS), and backed up every night.
How long we keep it
We keep a company's information for as long as the company uses Business OIS and for the retention periods the company sets for its own records. When a company leaves, we return its information on request and then delete it, including from backups as they expire.
Your rights
You may ask what personal information we hold about you, ask us to correct or delete it, or object to how it is used. If your information is in Business OIS because of your employer or a business you visit, contact that company first; we will help them answer you. Email oisconsult@outlook.com.
If you are not happy with our answer, you may complain to the Information Regulator (South Africa): inforegulator.org.za.
Changes
We will update this notice when our services change. The date at the top shows the latest version.
